What is Dictalogic Task Management?

Overview

Dictalogic Task Management is a dedicated module within the Dictalogic platform that enables organisations to delegate, route, track, and manage dictation and transcription tasks from any location at any time through the secure Microsoft Azure cloud. It is the workflow backbone of the Dictalogic platform, connecting authors who create dictations with the secretaries, transcriptionists, and transcription services responsible for completing them.

What does Task Management do?

Task Management provides a structured, transparent system for handling the full lifecycle of a dictation job from the moment an author records and submits a dictation, through assignment and transcription, to final completion and delivery. Every step in the process is tracked, logged, and visible to the relevant participants, eliminating the inefficiency and ambiguity of informal document workflows.

At its core, the module allows an author to assign the task to themselves, a specific secretary, a department, or a shared pool. The assigned person or team receives the task in their dashboard, completes the transcription, and marks it complete. The author is notified and can review the finished task.

Task assignment: Assign dictations directly to a named individual, a department, or a shared pool.

Status tracking: Every task has a clearly visible status (With Author, Awaiting Secretary, With Secretary, Being Typed, Completed, and others) so all parties know exactly where a job stands at any moment.

Priority flagging: Urgent or time-sensitive tasks can be marked as high priority to ensure they are actioned first.

Pool and department queues: Tasks can be sent to a shared pool where any available secretary can accept and work on them, balancing workload across a team.

Notification system: Authors and secretaries receive notifications when task statuses change, keeping everyone informed without the need to manually check the dashboard.

Audit trail: All task actions, including creation, assignment, acceptance, completion, and editing, are logged with timestamps, providing a complete and compliant record of activity.

Reporting: Administrators can generate reports on task volumes, turnaround times, and individual productivity.

Remote and mobile access: Tasks can be created and managed from anywhere, on any device, including the mobile app, making the platform suitable for remote and hybrid working environments.
