How can you track task status and turnaround time?

This article explains how to monitor the status of tasks and track transcription turnaround times within Dictalogic.

Tracking task status

Every task in Dictalogic is assigned a status that reflects its current position in the workflow. Authors can view the status of all their dictations from the dictation dashboard. The status column shows the current state at a glance. For a full description of each available status, see the knowledge base article “What are dictation statuses and filters? Common statuses and what they mean: “With Author” means the dictation has been saved but not yet submitted. “Awaiting Secretary” means the task has been submitted and is waiting for a secretary to accept it from the pool. “With Secretary” means the task has been directly assigned to a secretary who has not yet started working on it. “Being Typed” means the assigned secretary has opened the task and is actively transcribing it. “Completed” means the secretary has finished and marked the job as complete.

Using filters to monitor status

Use the status filter tabs on your dashboard to display only tasks in a specific status. The Outstanding Tasks filter displays all tasks currently in progress, with Secretary, Awaiting Secretary, and Being Typed in a single view, giving a clear picture of your active workload.

Turnaround Time Reporting

Administrators and Super Authors can access turnaround time reports from the Reports or Statistics section of the portal. These reports show the time elapsed between a task being submitted and being marked as complete, which can be broken down by secretary, department, work type, and date range.

Notifications

Configure email or in-platform notifications to receive alerts when a task’s status changes, for example, when a dictation is marked as completed by a secretary. Notification preferences can be set within your account settings.
